Job Title: ASSISTANT FLEET COORDINATOR


Reporting to: Fleet Manager


Location: Nairobi


Job Summary


Our client is seeking a qualified and experienced Assistant Fleet Coordinator to support the daily coordination, movement, maintenance, compliance, cost control, and reporting of the company’s motor vehicle fleet.


Job description


Key Responsibilities


Coordinate fleet operations, including daily vehicle allocation, movement, deployment, collection, recovery, and availability.
Monitor vehicle status, including condition, cleanliness, roadworthiness, mileage, fuel consumption, maintenance, and operational readiness.
Conduct basic vehicle inspections and promptly report mechanical defects, damage, safety concerns, and maintenance requirements.
Coordinate vehicle servicing, repairs, inspections, insurance, tracking, licensing, and other statutory requirements.
Maintain accurate records covering vehicles, drivers, fuel, maintenance, inspections, incidents, and compliance documentation.
Follow up with stakeholders, including drivers, garages, mechanics, suppliers, and service providers, to ensure timely completion of work.
Monitor driver performance, including conduct, vehicle usage, route compliance, fuel efficiency, and adherence to fleet procedures.
Document fleet incidents, including accidents, breakdowns, damages, traffic offences, delays, and other operational issues.
Maintain updated vehicle documents, including insurance, inspection certificates, licences, logbooks, and service records.
Prepare daily, weekly, and monthly fleet reports and communicate fleet status, delays, emergencies, and urgent operational matters.
Support cost control relating to fuel, repairs, tyres, spare parts, maintenance, and vehicle downtime.
Provide emergency support during vehicle breakdowns, recovery, and other fleet-related incidents.

Requirements


Mandatory Qualifications


Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, Transport Management, or a related field.
Valid Kenyan driving licence.
Minimum three (3) years of verifiable driving experience.
Minimum three (3) years of relevant experience in fleet management, transport coordination, motor vehicle operations, or a busy logistics organisation.
Practical knowledge of vehicle inspection, maintenance, documentation, road safety, and statutory compliance.
Strong communication, reporting, record-keeping, and computer skills.
High integrity, discipline, accountability, attention to detail, and ability to work under pressure.
